Position Details Position Title: Special Assistant to the Executive Director Function: Administration/Operations Position Type: Full-Time (Paid) Posted On: 7/22/2010 Job Description: We are seeking an energetic, well organized and like-minded Special Executive Assistant to assist our Founder and Executive Director (ED). Responsibilities will include:

• Work closely with Communications Team on executive communications strategy
• Provide research support in R&D, Policy and other relevant areas and participate in brainstorming sessions and other meetings, demonstrating a strong grasp of researched material
• Coordinate and facilitate communication between ED and organization Directors including out-of-office communication between ED and staff
• Coordinate and facilitate communication between project teams
• Manage and draft correspondence, executive contacts and materials for executive appearances and presentations, including PowerPoint documents, hand-outs, and notes
• Monitor and manage Executive Director (non-personal) email account
• Act as gatekeeper for document signatures and approvals
• Assist with preparation of funding proposals and fundraising events
• Accompany ED to select meetings based on availability of other staff
• Manage staff meeting preparations (scheduling, agendas, presenter materials, Powerpoint documents)
• Schedule meetings with select outside parties and provide oversight of ED’s schedule in coordination with executive assistant
• Serve as Board liaison and manage communications with board directors
• Coordinate board meetings, maintain minutes of meetings, and manage corporate governance documents
• Provide coordinator support for various other projects, as needed
Qualifications: We’re looking for an enthusiastic team player with the following:

• At least five years of post-undergrad work experience, preferably working with an executive-level manager
• OUTSTANDING written and verbal communication skills; Communications experience a plus
• Demonstrated ability to collaborate and communicate confidently and effectively with colleagues in all organizational functions
• A strong identification with, and a passion for mission-driven social purpose work
• Strong analytical skills and proficiency with technology, particularly MS Office (Word, Excel, Powerpoint)
• Excellent organizational and prioritization skills and the ability to manage several projects without sacrificing quality or attention to detail
• Bachelors degree or equivalent
